This Privacy Policy explains how CallVoya ("CallVoya", "we", "us"), an AI phone-receptionist service operated by Snap Marketing, collects, uses, and protects information when you use our website, dashboard, and calling service (the "Service").
1. Information we collect
- Account data — name, email, password (hashed), business details you provide during onboarding.
- Call data — for calls handled by your AI receptionist: caller phone number, call time and duration, AI-generated transcript and summary, call outcome, and (where you enable recording) the call audio recording.
- Knowledge base content — the business information you upload for the AI to answer from.
- Billing data — handled by our payment processor (Stripe); we do not store full card numbers.
- Integration data — if you connect HubSpot, OAuth tokens (encrypted) and the contact/call records we create on your behalf.
- Usage + technical data — logs, IP address, and diagnostics needed to operate and secure the Service.
2. How we use information
- To answer and route calls, generate transcripts and summaries, and deliver the Service.
- To sync call activity into your connected CRM (e.g. HubSpot) when you enable it.
- To bill your subscription, provide support, and send service emails.
- To secure, monitor, debug, and improve the Service.
3. Call recording & consent
Call recording is off by default and enabled per business at your choice, with a configurable spoken disclosure. You are responsible for complying with the call-recording and consent laws that apply to you and your callers (which vary by jurisdiction).
4. Service providers (sub-processors)
We share data only with providers that help us run the Service, under their own terms: Telnyx (telephony), Google, OpenAI, Deepgram, Cartesia (speech & AI processing), Cloudflare and Oracle Cloud (hosting/CDN/storage), Stripe (payments), Resend (email), and HubSpot (only when you connect it). We do not sell your data.
5. Data retention
We retain account and call data for as long as your account is active. Recordings follow your configured retention setting. You may request deletion of your data (see Contact); some records may be retained as required for legal, billing, or security purposes.
6. Security
Data is encrypted in transit (TLS) and sensitive secrets (including integration tokens) are encrypted at rest. Access is restricted and scoped per account. No method of transmission or storage is 100% secure, but we work to protect your information.
7. Your rights
Depending on your location, you may have rights to access, correct, export, or delete your personal data. Contact us to exercise them. If you connect HubSpot, you can disconnect at any time, which revokes our access and stops syncing.
8. Children
The Service is for businesses and is not directed to children under 16.
9. Changes
We may update this policy; material changes will be reflected by the "Last updated" date above.
